Job Title: PA to the Partners

Location: Swansea

Salary: From £21,000 a year – Full-time, Permanent

Job Overview

We are looking for a PA/Business Support Associate to work within our Business Support Team based in Swansea.

Working within a fast-paced dynamic environment you will provide personalised secretarial and administrative support to three of the Firm’s Partners.

Main Responsibilities:

  • Managing the Partners’ diaries and scheduling meetings and appointments
  • Preparation and distribution of meeting agendas and any other relevant documentation
  • Monitoring the Partners’ email inboxes and responding to/actioning emails on their behalf where possible
  • Undertaking all administration tasks for Partners
  • Answering phone calls on behalf of the Partners, taking messages or resolving queries where possible
  • Manage travel and accommodation arrangements, prepare itineraries, plan logistics, and submit expenses on behalf of the Partners
  • Arranging and booking board meetings, preparing the agenda and taking minutes
  • Maintain confidentiality of highly sensitive information
  • Proof reading and preparing documentation, reports, correspondence and presentations for the Partners
  • Booking any external venues for meetings
  • Managing databases and filing systems
  • Reminding Partners of important tasks, meetings and deadlines where necessary
  • Organising events and conferences

Essential Criteria:

Education

  • GCSE English and Maths

Experience

  • Significant previous work experience as a Personal Assistant to more than one person
  • Proven administrative and secretarial experience

Knowledge

  • Knowledge of office management systems and procedures
  • Knowledge and experience of using various Microsoft Office packages

Desirable Criteria

  • NVQ Level 2/3 in Business Administration or similar qualification
  • Ability to communicate through the medium of Welsh
  • Experience working within the Accountancy/Financial Services Sector
